Job Description

The Operations Coordinator will play a key role in enhancing the efficiency, organization, and overall operational performance of Dorman Law Firm. This position is designed as a 200-hour service-learning project with a focus on file management, case management software optimization, and team accountability. The Coordinator will work closely with attorneys and staff to standardize processes, improve training resources, and support the firm’s transition to a more paperless, streamlined, and efficient workplace.

Key Responsibilities

  1. Foundational Organization & Standardization
  • Implement a standardized file labeling system for all physical files.
  • Establish a color-coded system to categorize files by practice area (e.g., Family Law, Immigration Law, Criminal Law).
  • Create and apply a clear protocol for organizing files into three categories: Open & Active, Closed, and Archived.
  1. Comprehensive Training & CLIO Optimization
  • Support the firm’s transition to paperless operations through training and guidance.
  • Streamline client intake and assist with document automation training.
  • Facilitate training on CLIO (legal case management software) to optimize workflows.
  • Assist in integrating supporting applications, including QuickBooks, email, and calendar systems.
  1. Implementing Accountability & Positive Motivation
  • Develop and implement a Personnel Qualification Standards (PQS) system to track skills and competencies.
  • Work with staff to clarify roles and responsibilities, leveraging individual strengths.
  • Establish performance measurement tools and recommend additional resources as needed to enhance efficiency and motivation.

Qualifications

  • Currently enrolled in or recently graduated from a business, legal studies, or related program (preferred).
  • Strong organizational and project management skills with attention to detail.
  • Ability to analyze workflows and recommend process improvements.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); exposure to QuickBooks and CLIO is a plus.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a professional setting.
